Privacy Policy
Last updated: 27 September 2025
This Privacy Policy explains how Voice Rooms (“we”, “us”, “our”) collects, uses, discloses, and protects information when you use our Discord bot and related services (“Service”). We comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Where applicable, we also outline rights for users under the EU GDPR and the California CCPA.
1. Information We Process
- Operational data: Server IDs, channel IDs, role IDs, and temporary owner IDs of private voice channels needed to deliver features.
- We do not collect payment information, IP addresses, precise geolocation, or sensitive categories of data.
- We do not keep logs of user activity. Only the minimal IDs necessary for voice channel functionality are stored temporarily while the bot operates in your server.
2. How We Use Information
- To create and manage private voice channels, ownership, and waiting room features.
- To maintain the bot’s configuration while installed on your server.
- To provide support if you contact us directly.
3. Data Retention
Server configuration data is retained only while the bot is present in your server. When you remove the bot, stored IDs are deleted within a reasonable timeframe. Temporary data, such as current channel owner IDs, is cleared automatically when no longer required.
4. Legal Basis & Compliance
We process minimal data under the following bases:
- Legitimate interests: providing the features server admins request.
- Contract: fulfilling the setup and configuration of the bot.
- Legal obligation: complying with lawful requests when required.
5. Australian Privacy Law
We follow the Australian Privacy Principles (APPs) and the Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988 (Cth). If a breach occurs that is likely to result in serious harm, we will notify affected users and the Office of the Australian Information Commissioner (OAIC).
6. International Users
If you are located outside Australia, please note that Discord and our infrastructure may process data globally. We apply reasonable safeguards for international transfers consistent with GDPR and CCPA requirements.
7. Your Rights
- Australia: request access or correction of data under the Privacy Act 1988.
- GDPR: request access, rectification, erasure, restriction, portability, and objection, or lodge a complaint with your Data Protection Authority.
- CCPA: California residents may request access or deletion of data. We do not sell personal information.
8. Children
The Service is intended for Discord’s general audience. We do not knowingly collect data from children under 13 (or the age of digital consent in your jurisdiction).
9. Contact
For questions or requests regarding your data, contact us at [email protected].
